Matching records in a FormAssembly Salesforce Connector when multiple matches are found

FormAssembly Connectors: how to decide which option when multiple matches?

Have you come across this option in your FormAssembly Salesforce Connector? Which option does your institution choose - most recent record, new record, error, or skip?

We would never recommend the “End Execution and log an error” on student-facing forms - this would cause an error to display to students. And generally, you don't want to use the skip - no data in your CRM!

Creating new records could cause a duplicate? But how do I know the most recent record is the correct one? The one you choose is based on your overall system process for managing duplicates.

We tend to recommend the “Create a new record” option most often with 2 caveats:

1) Ensure your Lookups are as robust as possible to match to a single record. Use the And/Or logic to create multiple matching options if needed. Depending on the type of form and questions you are asking you may have more options. It is a delicate balance between asking for more information and making the form simple to use.

2) You have a process in place to review data regularly to match duplicate records. If you don’t have a duplicate review process set up currently or want to learn more about the Salesforce Duplicate tools - check out our free webinar on Utilizing Salesforce Duplicate Tools.
